About the role

We are seeking a professional, reliable, and highly organised Receptionist to serve as the first point of contact for our organisation. Operating within the high-integrity environment of the defence industry, this role is responsible for creating a welcoming, professional, and secure front-of-house experience for visitors, clients, and employees.

The successful candidate will demonstrate exceptional discretion, strong communication skills, and a thorough understanding of confidentiality and security protocols. In addition to managing reception and visitor access, the Receptionist will provide administrative and finance support to ensure the smooth and efficient operation of the business.

 

Qualifications and experience

  • Minimum Grade 12 (Matric) with 2–3 years’ proven experience as a Receptionist, Front desk representative, or in a similar customer-facing administrative role.
  • Excellent verbal and written communication skills.
  • Strong organisational skills with the ability to manage multiple priorities.
  • High level of professionalism, integrity, and attention to detail.

 

Key technical skills

  • Proficiency in Microsoft Office Suite, including:
    • Outlook
    • Word
    • Excel
    • MS Teams
  • Strong administrative and organisational skills.
  • Excellent telephone etiquette and customer service orientation.
  • Ability to maintain confidentiality and adhere to security procedures.
  • Experience working with Enterprise Resource Planning (ERP) systems will be advantageous.

 

Key responsibilities

1. Front desk management

  • Manage visitor reception and registration in accordance with organisational security protocols to ensure controlled site access.
  • Create a secure, professional, and welcoming reception environment for all visitors.
  • Maintain the reception area to ensure a clean, organised, and professional appearance.
  • Operate and manage communication channels, including incoming calls and general enquiries, ensuring prompt and professional responses.
  • Facilitate efficient communication and contribute to uninterrupted daily operations.

2. Foreign visitor and security management

  • Verify visitor identities and issue access passes in accordance with established security requirements.
  • Maintain accurate visitor records to support compliance, audit readiness, and security tracking.
  • Liaise with security personnel regarding access control measures and visitor-related matters.
  • Ensure consistent implementation of access procedures and assist in resolving security-related issues.
  • Contribute to minimising security risks through adherence to company policies and procedures.

3. Department administrative support

  • Coordinate administrative activities, including:
    • Mail and courier services
    • Travel arrangements
    • Meeting coordination
    • Invoice administration
  • Support operational efficiency through accurate and timely administrative processes.
  • Manage office inventory and supplies to ensure availability of resources.
  • Maintain office asset records and documentation to support accountability and effective resource utilisation.

4. Finance administrative support

  • Process supplier invoices, purchase orders, and requisitions accurately and within required timelines.
  • Support efficient payment cycles and contribute to reliable financial administration.
  • Maintain and update the asset register to ensure accuracy and compliance.
  • Monitor procurement deliveries and track goods and services received.
  • Assist in ensuring accurate record-keeping and adherence to internal financial controls.
