About the role
We are looking for a highly organised and proactive Project Administrator to provide administrative, operational, and coordination support within a fast-paced project environment. The successful candidate will play a key role in supporting project managers and departmental teams through efficient administration, ERP system coordination, travel and event arrangements, reporting support, and office management activities.
This role requires a detail-oriented individual with strong interpersonal skills, excellent organisational capability, and the ability to manage multiple priorities while ensuring operational efficiency and professional service delivery.
Qualifications & experience
- Minimum Diploma in Project Administration, Secretarial Studies, or a similar qualification.
- Experience working on Qmuzik (ERP system) will be advantageous.
- 2–5 years’ experience working within a project or operational environment.
- Experience supporting managers, coordinating administrative processes, and working with internal stakeholders.
Key technical skills
- Understanding of company and departmental operational processes.
- Strong time management and organisational skills.
- Good interpersonal and communication skills.
- Ability to coordinate departmental functions and stakeholder engagements.
- Strong administrative and document management capability.
- Proficiency in ERP systems and Microsoft Office applications.
Key responsibilities
1. Financial Control / Administration
- Coordinate leave administration, supplier follow-ups, and requisition tracking processes to ensure accurate records and efficient departmental support.
- Maintain asset registers, acquisition records, and administrative documentation to support compliance and operational accountability.
- Capture and manage departmental records and general office administration activities to ensure accurate filing, accessibility, and administrative efficiency.
2. Qmuzik ERP System
- Process and monitor requisitions, purchase orders, and delivery follow-ups on Qmuzik to ensure accurate transaction tracking and timely procurement support.
- Create requisitions for departmental and project-related goods and services to support uninterrupted operational and project activities.
- Coordinate invoice linking, creditor administration, and document processing on Qmuzik to ensure accurate financial processing and record management.
3. Travel Organising and Finance Support
- Coordinate travel arrangements, advance documentation, and travel administration with employees and the travel desk to ensure efficient travel planning and compliance.
- Maintain accurate travel records and monitor Forex advance reconciliations to support effective travel cost management and reporting.
- Process local and international expense claims and follow up on outstanding documentation to ensure timely submission and administrative compliance.
4. Office Management: General
- Manage incoming correspondence, filing, and document distribution processes to ensure effective communication flow and information management within the department.
- Provide administrative and secretarial support to management teams to improve operational coordination and executive support delivery.
- Coordinate office supplies, equipment maintenance, and facility administration to ensure a functional, organised, and productive working environment.
5. Meetings, Function and Event Coordination
- Coordinate meeting, event, and function arrangements to ensure professional execution and seamless stakeholder experiences.
- Communicate meeting schedules, reminders, and attendance requirements to improve participation and effective event coordination.
- Arrange venues, refreshments, and client engagement requirements to support successful meetings, functions, and departmental events.
