About the role
We are seeking a highly disciplined and detail-oriented Document Controller to establish, implement, and maintain robust document control governance within our Program & Project Management Office (P&PMO). This role is critical in ensuring the integrity, traceability, and compliance of all program and project documentation across the full lifecycle in a highly regulated environment.
Qualifications & Experience
- Relevant tertiary qualification (Business Administration, Technical Writing, or related discipline)
- Certification in Document Control, Quality Management (e.g. ISO 9001), or Configuration Management is advantageous
- 3–7 years’ experience in document control or project administration
- Proven experience within engineering, technical, or regulated environments
- Exposure to audit processes, certification requirements, and controlled documentation systems
Key technical skills
- Strong expertise in document lifecycle management within controlled environments
- Advanced knowledge of document control systems, metadata standards, and records management
- Solid understanding of quality management systems, regulatory compliance, and audit requirements
- High level of accuracy, attention to detail, and process discipline
- Strong stakeholder engagement and coordination skills
- Ability to work under pressure and manage competing priorities
Key responsibilities
Document Lifecycle Governance
- Establish, manage, and continuously improve document control processes across the full lifecycle—from creation to achieving to ensure standardisation, accuracy, traceability, and audit-ready records.
Compliance, Quality and Audit Reporting
- Ensure all documentation complies with regulatory, contractual, and quality standards, maintains audit-ready records, supports audits and certification processes, and strengthens risk mitigation through effective document control practices.
Document Repository and Information Governance
- Administer and govern document repositories by ensuring secure storage, controlled access, data integrity, and standardised classification, while managing records, retention, and archiving processes to drive consistency across all documentation.
Stakeholder enablement and coordination
- Enable and coordinate stakeholders by supporting delivery teams in meeting documentation requirements, ensuring timely access to accurate information for audits and reviews, and acting as the central point of contact for document-related queries and updates across functions.
Reporting and continuous improvement
- Provide reporting on document control performance and compliance, monitor process effectiveness, and drive continuous improvement initiatives while promoting best practices in document and information management across the organisation.
